Job Description

The Millrace Event Space Manager directs and manages a facility at the gateway to Woonsocket’s Historic Main Street. The Manager is expected to leverage this new facility to generate income for NWBRV’s mission and catalyze neighborhood vitality. Responsible for developing, planning, implementation and oversight of designated Millrace events, programs, and community gatherings. Works closely with volunteers to ensure events are delivered on time, within budget and at the desired quality level. Cultivates long-term relationships with all event stakeholders and seeks to consistently improve event execution and revenues. Responsible for providing onsite support to events to ensure their success. Must be self-starter and team player.

  • Management and day-to-day operation and oversight of the Millrace Event Space and creative placemaking initiatives to achieve outcomes around: 1./ Maximizing event space rentals to generate earned income to support NWBRV’s mission; 2./ Increasing Woonsocket’s community building offerings to reflect the City’s diversity through cultural/artistic events/expression; and 3./ catalyzing Main Street & Island Place Historic District vitality;
  • On-site management of all events;
  • Ensure satisfied customers and successful events;
  • Oversee facility and program budget and monitor operations;
  • Database management including program outcomes and impacts, and funder reporting as required; Maintain facility database, analyzing user, marketing and other data for trends and patterns;
  • Design and management of limited community programming;
  • Developing collaborations with other partners and stakeholders to further facility & organizational goals;
  • Develop robust marketing program to cultivate sales and build event pipeline using social media, electronic sign and other strategies in conjunction with Director of Communications and Marketing to sell Millrace as a top event rental destination to a diverse clientele;
  • Ensure rental rules are enforced and the safe, proper use of equipment, facilities and grounds;
  • Manage guest experience; model exemplary guest services; ensure brand experience is consistent; serve as primary contact and navigator for all client concerns, including after business hours;
  • Processing and tracking payments, registration, deposits; confirm receipt and payment of bills/invoices, input payments, generate receipts and maintain income and expense records;
  • Managing assets and infrastructure in partnership with Asset Management staff; Coordinate event space booking and availability, set-up and reinstate with relevant staff;
  • Coordinate pre-event preparation with maintenance, cleaning, set-up, patio prep and vendor load-in as may be necessary; Maintain up-to-date rental calendar;
  • Oversee and manage all venue operations, ensuring safety of premises, sanitary food facilities and full compliant with all regulations, alerting authorities as necessary to assure maximum safety and health; Point of contact for client and customer; set-up venue accordingly to satisfaction of customers, other stakeholders; Promotion, booking, contract administration, vendor coordination; Respond to inquiries in a timely, effective and proactive manner; Schedule and provide facility tour; Contract and document administrations; One-on-one coordination meetings with renters prior to their event; Create and manage event and program timelines and task lists for staff; Maintains records, event calendars and file and prepare reports and statistical data on usage.

Duties & Responsibilities

  • Deploy effective marketing to generate renters; coordinate rentals including responding to inquiries, scheduling viewings, rental agreements, event space set-up, onsite customer support during events, supervising clean up, and billing/invoicing; coordinate event space logistics including cleaning, linens, supplies, and technology;
  • Work with property management staff, as well as the Asset Management LOB to assure that facility is well maintained, clean and inviting;
  • Work with Finance Team to conduct regular sales/expense analysis; Provide annual and monthly narrative and data reports to Director to provide Board of Directors updates on program progress and outcomes;
  • Serve as NWBRV’s representative to the Downtown Woonsocket Collaborative and provide support for Main Street events such as the annual Holiday Stroll as necessary;
  • Regularly inspect facilities for maintenance and upkeep, and future capital improvements providing written updates;
  • Ensure all equipment is in safe working order, checked regularly and serviced, report faults as required, ensure they are rectified and ensure not put back online until working and safe; Manage cleaning vendors;
  • Ensure compliance with environmental standards/procedures;
  • Develop social media strategy; generate engaging content (photos, stories, testimonials, videos, etc.) for social media platforms to highlight upcoming events; publicize calendar with regular updates and activity listings; monitor social media channels for comments, messages and mentions and promptly respond to inquiries, feedback and concerns from customers and the community; foster positive communications and build relationships to foster a supportive online presence and community around the Millrace Center; collaborate with organizational teams, volunteers, event stakeholders and partners to gather content, coordinate promotional efforts and ensure alignment of media and overall event objectives..

Qualifications & Requirements

Education and Experience: Associates or Bachelors in Hospitality, retail, etc or five years successful experience managing facilities and/or public events; Experience with rental events and contract administration; Successful experience with community event design and implementation; Project management skills; Experience operating and troubleshooting audio/visual equipment; Manage building operations; Maximize uptime and availability of facility; Ability to balance the scheduling of facility usage to maximize income generation yet provide space for limited community programming; Skilled at working with the public and maintaining good public relations;

Licenses, Registrations, and Certifications : RI Department of Health ‘Serve Safe Certification’ a plus;

Work Environment, Dynamics, Physical demands and Environmental Conditions : Sufficient mobility to work in a public event facility setting; Extensive use of computer keyboard; Work is performed primarily in a public environment under pressure and requires the ability to quickly adjust to changing priorities and demands; Work must be performed with an extensive degree of independent judgment and action; Ability to utilize a computer and keyboard for data input and document writing; Ability to move chairs and tables for events; Subject to inside and outside environmental conditions and atmospheric conditions; Ability to stand and walk for extended periods of time; Ability to lift, pull, push, set-up and move furniture, equipment, supplies, parcels, etc of up to 60 pounds throughout the workday; Work a flexible schedule that includes mostly evenings and weekends; Greeting and directing guests; Assist with housekeeping; Assist with any emergency procedures such as fire alarm, severe weather, emergency housekeeping or other emergency situations.

Additional Information : Must be bondable by NWBRV insurer; frequent evening and weekend work hours to cover events.

Job Type: Part-time

Pay: $25.00 per hour

Expected hours: 15 – 29 per week
