BRIEF JOB DESCRIPTION: The Executive Confidential Assistant to the School Committee reports directly to the Springfield School Committee and is under the supervision of the Vice Chair/Superintendent. The Executive Confidential Assistant is responsible for managing the functioning and business of the School Committee. The Executive Confidential Assistant supports the School Committee in its role of providing educational leadership.
PRIMARY FUNCTIONS OF THE JOB:The Executive Confidential Assistant to the School Committee is a collaborative and motivated individual who:
- Attends all school committee meetings and subcommittee meetings (both during the day and at night) and maintain and disseminate accurate minutes and other records in a timely manner.
- Prepares and disseminates agendas and other relevant documents as needed for the School Committee.
- Keeps Accurate records of School Committee motions, orders, policies, and other action items.
- Maintains required records and files in accordance with relevant laws and to facilitate transparency and public access.
- Posts meetings and send notices electronically in accordance with Massachusetts General Law Chapter 30A; Section 20.
- Is knowledgeable of and able to interpret and apply Roberts' Rules of Order.
- Coordinates all School Committee activities including meetings, round tables, public hearing, public testimonies, workshops, travel/accommodations, etc. Ensure availability of appropriate public accommodations.
- Receives and responds to a wide variety of calls, correspondence, and concerns on behalf of the school committee, keeping members promptly and accurately informed as appropriate.
- Establishes and maintains effective working relationships with School Committee members and others, and work collaboratively with members, district and school personnel, parents, and the general public and others with regard to achieving School Committee goals and objectives.
- Coordinates the maintenance and updating of the School Committee website and other digital platforms on behalf of the committee.
- Has a vast knowledge of computer software (Microsoft suite, including excel and PowerPoint).
- Coordinates and cross trains with the Confidential Senior Executive Assistant to the Superintendent.
- Has the ability to work a nontraditional and flexible work schedule.
- Performs all other assigned duties.
EDUCATIONAL & JOB EXPERIENCE REQUIREMENTS:
- High School diploma and minimum of 5 years of related experience required or bachelor's degree or higher with 3 or more years experience
