Job Description

Summary/objective

The Events and Catering Director reports directly to the Food and Beverage Manager and works collaboratively with the entire F&B Team. The Events and Catering Director has direct accountability for the booking and execution of Private Party and Club Special Events and participates as a member of the F&B Management team.

The successful candidate will be hospitality-minded, an exceptional communicator, sales-minded, and express a positive 'whatever-it-takes' attitude, even under stressful circumstances. Many of the activities that will flow through, and be part of the role, require an exceptionally strong attention to detail, the ability to juggle and organize multiple priorities, and work and communicate effectively with a cross-functional team. This role also requires a "servant's heart," while being an organized, time-efficient, and "big-picture" employee.

Key Priorities

Promote the Club's dining facilities for private banquets, catering, business and social meetings, and other member-related activities. Develop contracts for and oversee all administrative and operational aspects of preparing and serving events. Work with banquet and other departments to assure that the guests' expectations are exceeded.

  • Promotes, advertises, and markets the Club's special event facilities and capabilities to all members.
  • Helps member clients arrange banquets, luncheons, meetings, weddings, and other social events; obtains pertinent information needed for guest planning.
  • Provides tours and offers suggestions in efforts to sell the Club's facilities for the occasion being planned.
  • Works with the Executive Chef to determine selling prices, menus, and other details for catered events; oversees the development of contracts; assures that pre-planned banquet menu offerings are current and reflect the general member interest.
  • Suggests and helps guests plan menus in conjunction with the Executive Chef or other culinary personnel.
  • Transmits necessary information and coordinates event planning with production, serving, and housekeeping staffs; arranges for printing of menus, procuring of decorations, entertainment, and other special requests, etc.
  • Inspects finished arrangements; oversees the actual greeting and serving of guests.
  • Checks function sheets against actual room setup; works with Food and Beverage Manager on personnel scheduling for special functions and may help supervise service personnel.
  • Handles client concerns and complaints.
  • Maintains past and potential client files, schedules calls or visits to assess on-going needs of prospective clients for catering services.
  • Helps develop catering budgets, reviews financial reports, and takes corrective actions as appropriate to help assure that budget goals are met.
  • Helps guests with parking, entertainment, decorations, audio-visual, floral, and any other requirements integral to events being planned.
  • Obtains necessary permits for special events and functions, if applicable.
  • Arranges prompt payment for events.
  • Attends management meetings to review policies and procedures, future business, and to continually develop quality and image of banquet and catering functions.
  • Tracks new products and trends in food service and catering applicable to the club.
  • Ensures the security of valuables (Club's, guests', and members' property) during catered events.
  • Assumes responsibility of "Manager-on-Duty" when necessary.
  • Ensures that proper housekeeping and energy conservation procedures are always followed.
  • Diagrams room layout, banquet item placement, and related function details.
  • Meets with golf and other sports departments to plan food and beverage aspects of special events organized by their staff members.
  • Manages banquet billing and client correspondence.
  • Updates weekly function information for all affected staff and with Food and Beverage management team through weekly BEO meetings.
  • Serves as liaison between kitchen, service, and management staff.
  • Maintains Club's master calendar and function book.
  • Performs special projects as assigned by the Food and Beverage Manager.

Competencies

  • 3+ years of hospitality experience, with demonstrated growth and success in previous special event sales and execution.

Physical Demands and Work Environment

  • Required to stand for long periods and walk, climb stairs, balance, stoop, kneel, crouch, bend, stretch and twist or reach.
  • Push, pull, or lift up to 50 pounds.
  • Continuous repetitive motions.
  • Work in hot, humid, and noisy environment.

Required education and experience

  • High School diploma or GED
  • 3+ years of related experience and/or training.
  • Experience in catering operations.
  • Extensive knowledge of the private club industry's food and beverage operations.
