If you have initiative, drive, and are looking to be part of a fun and energetic team, this job is for you! The AI Platform Org in C+AI is looking for an experienced and energetic Business Administrator to be responsible for providing excellent administrative and project support.

Candidates must have excellent organizational, interpersonal and communication skills along with the ability to work independently and professionally with all levels in the organization. You must be resourceful and able to deal with ambiguity, possess solid project management and problem-solving skills, be able to work effectively under pressure and within short time constraints, prioritize while multi-tasking, and be flexible in the performance of the job responsibilities.

We are looking for a Business Administrator to support our Experimentation Platform (ExP) and AIP Analytics teams of 100+ Data Scientists, Software Engineers and Program Managers. Our mission is to accelerate innovation through trustworthy experimentation. Most major products such as Bing, Cortana, Edge, Exchange, Identity, MSN, Office client, Office online, Photos, Skype, Speech, Store, Teams, Visual Studio Code, Windows, Xbox use our platform ExP to run trustworthy Online Controlled Experiments – aka A/B tests. ExP team members regularly contribute to conferences through publications and tutorials.

Along with supporting the ExP and AIP Analytics teams, this role will also assist with team support of the AI Frameworks team which is comprised of engineers.

Responsibilities

  • Supporting the Vice President of ExP. Including calendar management with attention to details, accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments
  • Planning and coordination of complex domestic travel
  • Timely and accurate reconciliation of expenses
  • Partnering and cross-collaborating with AI Platform Administrative team as well as many parts of the C+AI organization. Partnering with HR, Staffing, and Finance as well as facilities for space management.
  • Managing headcount, tracking open positions, creating requisitions, onboarding new hires, and keeping up to date with Headcount related tools. Maintaining distribution lists. Managing space allocation, anticipating possible compression issues, scheduling individual moves, and assisting with group moves for team members.
  • Team support including space management, office moves, new hire set up and onboarding and procurement of equipment and supplies for ExP and AI Frameworks team in the US and Canada.
  • Purchasing equipment for new hires and refreshes. Track assets, cost centers, PC Recycled assets, and equipment transfers.
  • Managing operating budget and spend, identifying near-overages and issues. Partnering with Finance to ensure no reporting discrepancies. Acting as final approver on all team expense reports, ensuring coding accuracy.
  • Organizing and planning off-sites and morale events at the team level. Cross-collaborating, planning, and providing support for org-wide events including Town Hall Meetings, org morale events, and other events as needed.
  • Understand the rhythm of the business (ROB) and ship cycles in order to most effectively plan events and meetings, anticipate spend, and provide support based on the business needs at the time.

Qualifications

Required/Minimum Qualifications
  • 2+ years Administrative, Business Support, and/or customer service experience
    • OR equivalent experience
  • Proficiency in Microsoft Outlook, Excel, Word
  • Calendaring experience
Preferred/Additional Qualifications

  • 3+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work
  • Experience in iCIMS, EC, MyExpense, MyOrder, HR Insight, and MS Space preferred
  • Verbal and written communication skills to support working with team members in various locations.
  • Detail-oriented with problem-solving and troubleshooting skills.
  • Cross-team collaboration skills.
  • Ability to be flexible and work quickly and efficiently in a fast-paced environment.
  • Ability to react with appropriate urgency to situations and requests.
  • Be able to maintain confidentiality and use discretion and judgment at all times.
  • Exercise sound judgment, tact, diplomacy, integrity and professionalism in all communications.
  • Ability to lift and move standard office equipment (i.e. computers and peripherals)
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $23.56 - $41.68 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $34.71 - $48.22 per hour.
