Position Summary/Purpose of Position:
The Associate Director of Events & Alumni Relations is a member of the College of Computer, Mathematical, & Natural Sciences (CMNS) and University Relations teams at the University of Maryland, College Park. This individual is responsible for generating event concepts and themes with outcomes focused on building relationships and enhancing the donors’ event experience. This individual will plan and implement strategies, programs and events that increase the participation and engagement of the 60,000 CMNS alumni, with a focus on major donors and major donor prospects. This position will work with the Chief Development Officer/Assistant Dean to establish appropriate benchmarks and with frontline fundraisers to strengthen donor relationships through meaningful events and engagement opportunities.

The Associate Director has primary responsibility for managing college-wide and departmental development events involving alumni, donors, and other external constituents and interacts with high-level administrators, both on and off campus. They are responsible for researching, planning, and executing events and programs, as necessary, many details associated with executing special events in the college, including: scheduling events, securing venues and vendors, coordinating invitations, managing the registration process, working with staff, faculty, students and volunteers, and briefing leadership on the progress and outcome of events. They will be the primary facilitator of events as they are launched and executed and will analyze ROI data to determine the effectiveness of events.

The Associate Director will direct a comprehensive alumni engagement program designed to increase alumni involvement and engagement with CMNS, including staffing the CMNS Alumni Network Board. The Associate Director will coordinate with the university’s Alumni Association staff on campus-wide alumni events that involve CMNS. They will work collaboratively with other units’ Special Events/Alumni Relations staff members as needed for smooth operation and to meet CMNS and campus-wide strategic goals.

They will oversee the unit’s special events budget and coordinate expenses/payments with appropriate university staff. This individual is also responsible for working closely with the CMNS Dean’s Office event manager to maintain a comprehensive events calendar for the college and provide staff with specific details regarding their involvement.

The Associate Director will supervise the Program Manager for Alumni Relations and Development and have oversight of all event related briefing materials, annual giving for CMNS including annual appeals, Giving Tuesday, and Giving Day. The scope of responsibilities also includes oversight of all financial and other reporting as well as data analysis and prospect research. This position will also oversee special projects and initiatives at the Dean’s discretion.

Minimum Qualifications:
Education:
A Bachelor’s degree is required from an accredited college or university.
Experience:
  • A minimum of five years of experience in event management. Preferably in higher education.
  • Prior management experience.
  • Experience working with leadership and with alumni/donors.


Knowledge, Skills, and Abilities:
  • Ability to plan and execute on events focused on building and deepening relationships and enhancing the constituent event experience.
  • Effective at establishing and building internal and external professional relationships.
  • Good judgment when reviewing vendor bids, locale, timetables, etc. to produce excellent results in terms of guest experience and fiscal accountability.
  • Ability to communicate clearly, concisely and appropriately.
  • Ability to juggle multiple priorities and work independently, while also serving as a critical and enthusiastic member of the college’s development team.
  • Able to work autonomously, as well as on a team.
  • Knowledge of best practices in the special events field.
  • Demonstrated interest in higher education and higher education advancement and the ability to represent the University of Maryland in a highly professional and effective manner.

Preferences:
Preferences:
  • Knowledge of Fundraiser Performance Management, Advance, or similar software systems is preferred.
  • Experience using event management software is preferred.
  • Understanding of policies, procedures, and “best practices” for event coordination in higher education advancement is preferred.
  • Knowledge of Google suite and MS Office is preferred.

Salary range is low $80,000s to low $100,000s.
This position allows for a combination of in-person and telework days as approved by the supervisor. Guidance regarding hybrid work is subject to change at any time to align with operational or business needs.

  • The position does occasionally require walking some distance to attend meetings and events.

  • Some local and national travel is required.
