Administrative Assistant within the Division of Cardiovascular Medicine in the Department of Internal Medicine who performs a variety of administrative tasks to assigned faculty, administrators, and programs in support of patient care, academic, and research missions; manages and oversees administrative functions of the clinical operations for the Division of Cardiovascular Medicine within the Department of Internal Medicine; responsible for implementing processes, workflows, policies, and procedures that ensure efficiency, transparency and compliance; functions as liaison between Division, Central Scheduling, IHIS, Cadence team, third party vendor (where appropriate) and division access leadership; ensures required and appropriate levels of provider coverage of inpatient service, procedural and outpatient clinics, as well as special CVM programs, for both immediate need and long range planning; maintains accurate provider’s schedules and manages clinic schedule changes; coordinates and maintains appointment calendars; schedules and coordinates meetings, conferences, educational programs, and special events including logistics; attends and records minutes of meetings; transcribes and distributes meeting records; makes national and international travel and lodging arrangements; collects receipts, prepares requests for, and tracks reimbursement of expenses; drafts and prepares correspondence; prepares reports, tables, and slides for presentations; assists faculty with preparation of credentialing and promotion & tenure documents; updates CV (curriculum vitae) and tracks CME (Continuing Medical Education) documentation; completes project work as assigned by Division Administrator or Administrative Manager. Performs other duties as assigned.
Minimum Education and Skills/Experience Required/Desired
Per CCS Specifications; six months experience (600 hours training) using computers to generate a variety of materials ranging from basic to complex; six months experience (600 hours course work) in office practices and procedures; six months experience (600 hours course work) in customer service. Requires successful completion of a background check. Selected candidate may be asked to complete a re-employment physical including a drug screen.
