A Brief Overview
The Administrative Assistant I performs exceptional customer service and administrative job duties to support all areas of DU operations under direct supervision of the Administrative Manager or their designee.

What you will do
  • Answers a multi-line phone system, direct calls, and greet visitors; take/relay incoming messages and place outgoing calls as needed.
  • Responsible for ensuring common areas are maintained in a professional manner.
  • Provides administrative support and communicates effectively with all DU Employees.
  • Responsible for sorting and distribution of incoming communications and processing outgoing mail, this includes faxes and DU info emails.
  • Prepare routine correspondence and presentations from handwritten notes, dictated materials, or as directed orally.
  • With oversight, arranges travel and coordinates transportation.
  • Monitors and maintain office supply inventory and assists with purchasing, as necessary.
  • Sets up for meetings and conferences assuring complete information is available as required.

Conditions of Employment

Must pass a pre-employment drug test, random drug test thereafter in accordance with the published policy of Doyon Utilities. Must have a valid driver's license issued by the State of Alaska. Must be eligible to work on a military installation in Alaska. Eligibility to work on a military installation includes compliance with Department of Defense mandates with respect to employee background and health directives.

Qualifications
  • High School Diploma or equivalent Required
  • Some experience in a professional office environment. Required
  • Knowledge of Microsoft Office Suite.
  • Proper telephone etiquette.
  • Strong customer services skills.
  • Strong written and verbal communication skills.
  • Knowledge of office machines including fax, copier, computer workstations, telephone system, voice mail systems
  • Ability to meet and deal with the public and staff in a pleasant and courteous manner
  • Ability to follow direction and attention to detail
  • Ability to maintain strict confidentiality.
  • Must have a positive, friendly attitude and be a team player
